Inventory reports are a full written report demonstrating the condition of a residential property prior to the beginning of a tenancy. They are designed to give a comprehensive and unbiased guide of the condition of a property so that when the tenancy ends the property can be re-inspected and damages can be assessed and reported fairly and accurately. IR's generally include internal and external areas, photographs, meter readings, key logs, cleanliness ratings and a full break down of contents, features and fittings. Should there be a dispute over deductions from a security deposit due to damages the report can be submitted as evidence. Although IR's are not legally required they are highly recommend as without documented evidence it is unlikely deductions for damages will be approved by a deposit scheme such as the TDS (Tenancy Deposit Scheme).
We currently only offer mid tenancy property inspections to private landlords, not estate agents. Mid tenancy property inspections are completed at 3-6 month intervals during a tenancy. However MTPI's can be scheduled at any time to investigate specific issues or causes of concern. An MTPI contains photos of the internal and external areas of a property detailing any maintenance issues reported or not reported by a tenant. Factors also logged on MTPI reports are cleanliness, pets, evidence of smoking, damages or any other breach of the tenancy, such as sub-letting.
Check out reports accurately document the condition of a property at the end of a tenancy. The intention being to highlight the comparison of a property to the initial IR (taken at start of tenancy). Therefore COR's generally contain photos and descriptions of any damages to a property deemed unreasonable and caused by misuse by the tenant. Key logs, cleanliness ratings, general photographs and meter readings can also be provided. COR's are equally as important as an inventory report as both can be used as evidence should deductions need to be made from a deposit due to damages.
This is not necessary. We can pick up keys from your office, key lockbox or any other safe space. We will then conduct the report, safely lock up the house and return the keys to you when finished.
No, once the detailed report is made the tenants will have the opportunity to read this, leave additional comments and sign it digitally where required.
No. We can collect the keys from a pre arranged location to gain access to the property. The inventory clerk will then do a detailed comparison against the check in inventory and note any changes in condition and cleanliness. This report will be sent to the landlord / estate agent upon completion.
Yes, we take general overview photos of rooms and garden. We also take many additional photos that will show any signs of damage or uncleanliness that are present on individual items. And finally, we will photograph the keys, appliance manuals, meter readings, smoke and carbon monoxide alarms.
We currently only offer mid tenancy property inspections to private landlords, not estate agents. Where the tenant gives consent, we will take 2-4 general overview photos of each room. We will then take any additional photos to document areas of issue / concern.
At this time we do not inspect loft areas unless they have been converted to an accessible living space. This is to ensure the safety of our clerks.
Assuming all information required is given, appointments generally take around 1.5-2 hours depending on the size of the property. Reports are then ready to be sent within 24 hours of the appointment. In the case of a check in inventory, the tenant signature process can take up to 7 days. However a copy of the unsigned report will always be emailed to the landlord before this process starts.
After booking in a date with us, you should make sure the rental properly is clean and tidy. The property should be completely ready for the appointment, with no additional cleaning or fixes happening during or after the appointment. The property should only contain items that you want listed on the inventory. If for example there are any items being gifted to the tenant, please advise us of this before the appointment.
Yes of course. If you want an appointment rescheduled please inform us as soon as possible so we can find you a new time in our diary.
Yes we can. As long as you can provide us with the existing check in inventory before our appointment, we can use this to compare and make note of any changes during the tenancy.
